What Type of System Works Best for You?
How should I know? You're you. This is where people get really hung up—and there's no need for it. If you like paper, work with paper. If you love little three-by-five index cards, and crossing off lists, then that's a great system for you. Don't think you need the latest smartphone and a tablet and some kind of cloud-centric application—unless you do.
Create the systems you need and use them the way you need to use them. Never ever let the world dictate how you do something. Do keep your mind open to the fact that someone might have a better way to do something; but don't feel the need to always be looking for what's “next” or “better.”
At Human Business Works, we use a lot of clever automation technology to help remove repetitive tasks at my company. For instance, people tend to ask some pretty repetitive questions via e-mail, so we have software that lets us type a few characters, and pow! Out come several paragraphs of preloaded information. We then customize it as much as need be for the person's question, and we've saved ourselves many minutes of performing the same process over and over.
Of course, this requires that one use a piece of software like that; in my case, it's called TextExpander for Mac. If you don't use that technology, and instead have a little notepad file with snippets you copy and paste, that'll work, too. It'll just be a bit more time consuming and tedious than the method I just explained. And that's what you need to know about the variation of how systems might work—or not.
A Very Important Process to Have
Before we go further into systems, it's really, really important to think about this one process: You must review the systems themselves occasionally. If you have a system that says “turn off e-mail for six hours at a time so that I can get something done,” review whether that's effective once every month or so. (My guess is “yes.”) It's always important to know that the system still fits your efforts.
